Ecopsia Ltd – Effective from [insert date]
We ask all guests to please read this policy carefully as it forms part of your contract with Ecopsia Ltd when you make a booking.
1. Booking & Deposit

A 30% non-refundable deposit is required at the time of booking to secure your place.

Your booking is only confirmed once your deposit has been paid.

The balance of your payment is due no later than 6 weeks prior to your arrival date.
2. Non-Refundable Deposit
-
The deposit is 100% non-refundable in all circumstances, including cancellation by you for personal reasons.

This covers our administration costs, venue and facilitator commitments, and spaces we hold in good faith for you.
3. Full Payment & Balance

Your full payment must be received at least 6 weeks before your arrival date.

If full payment is not made by this deadline, we reserve the right to cancel your booking and retain the deposit paid.
4. Changes to Your Booking
We understand plans can change, and we will always try to support you where possible.

Change requests (e.g., new retreat date or participant change) must be made in writing no later than 6 weeks before your scheduled arrival date.

A £50 administration fee will apply to each change request.
-
Requests received with less than 6 weeks’ notice may not be accommodated, and full cancellation terms will apply.
5. Cancellation by You
To cancel your retreat, you must notify us in writing (email is acceptable) to the address on your booking confirmation.
Your cancellation will take effect on the date we receive your written notice.
Refunds on cancellation:

More than 6 weeks before arrival:

No refund of deposit.

Any balance paid (beyond the deposit) will be refunded.

Less than 6 weeks before arrival:
-
No refund of any amount paid.

We are unable to offer partial refunds, transfers, or credits toward other retreats.

6. Cancellation by Us
We rarely cancel retreats, but circumstances outside our control may require us to do so.
In such cases:

You will be offered the choice of:

A full refund of all amounts paid, or
-
A transfer of paid funds to another retreat date (subject to availability)

We are not responsible for any costs you may incur outside of the retreat fee (e.g., travel, accommodation, personal expenses).
7. Force Majeure
We cannot accept liability or offer refunds if we are unable to provide your retreat because of unforeseen events beyond our reasonable control, including but not limited to:

Government restrictions or changes (e.g., travel or health directives)

Natural disasters, acts of war or terrorism
-
Pandemics & health emergencies
-
Weather events affecting travel or venue access
In such cases, you may be offered:

A full refund, or
-
A credit towards a future retreat
8. No-Show Policy
If you do not arrive on your retreat start date and have not notified us in writing, you will be treated as a late cancellation, and no refund will be issued.
9. How Refunds Are Processed
Refunds (where applicable) will be processed within 14 days of cancellation confirmation, using the same payment method originally used.
We will notify you by email once the refund has been issued.
10. Insurance & Protection
We strongly recommend that all participants arrange comprehensive travel and cancellation insurance to cover:

Cancellation for personal reasons

Lost travel costs

Medical or emergency expenses

Other unforeseen interruptions
You remain responsible for securing your own insurance cover.

By making a booking with Ecopsia Ltd, you confirm that:
