Facilitator Venue Hire – Terms & Conditions

Thank you for choosing to host your retreat at our venue. These terms support a smooth, respectful, and professional experience for all.

1) Booking & Payment

• A booking is confirmed once the deposit is received and these terms are agreed.
  
• The deposit is non-refundable.
  
• The remaining balance is due ___ days before arrival.
  
• Late payment may result in cancellation of the booking.
  

2) Cancellation

If the facilitator cancels:

• Deposit is non-refundable
  
• 60+ days before retreat: balance refundable (minus deposit)
  
• 30–60 days: 50% refundable
  
• Under 30 days: non-refundable
  

If the venue must cancel due to unforeseen circumstances, payments will be refunded in full.

3) Security Deposit

A refundable security/damage deposit of £___ is required before arrival.

This may be used to cover damage, breakages, lost keys, or excessive cleaning.

4) Facilitator Responsibility

The facilitator agrees to:

• Be responsible for their guests
  
• Share venue guidelines with participants
  
• Respect the property, land, and neighbours
  
• Ensure the space is left tidy and cared for
  

5) Insurance

Facilitators must hold appropriate Public Liability Insurance and insurance for the services they offer.

The venue is not responsible for facilitator-led activities.

6) Guest Numbers

• Agreed maximum numbers must not be exceeded
  
• Only confirmed guests may stay overnight
  
• Day visitors require prior approval
  

7) Use of Space

• Only agreed areas may be used
  
• Private areas are not accessible
  
• Noise levels must be respectful
  
• Quiet hours after 9pm
  

8) Safety & Care

• Fire safety guidance must be followed
  
• Candles and fires only in designated areas
  
• No illegal substances onsite
  

9) Cleaning & Departure

• Spaces should be left tidy
  
• Furniture returned to place
  
• Rubbish disposed of correctly
  

Additional cleaning costs may be deducted from the deposit.

10) General

Guests attend at their own risk.
The venue is not responsible for personal belongings or travel disruptions.

We reserve the right to end a retreat if these terms are seriously breached.
